The website policy below covers enrol.io and the details you share when enquiring about Enrolio. The club platform data overview is separate: the platform's own terms, privacy notice and applicable data processing agreement govern student and parent records. The website's lead retention period does not apply to those records.

When you enquire about Enrolio or join an early-access list, we may collect:

• Your name and job or role at the club
• Club or organisation name
• Email address and phone number
• The sector or discipline you are interested in (for example, dance, gymnastics, cheer)
• Approximate number of students
• Any notes or questions you choose to add

When you book a live demo, the booking is handled through our scheduling partner. We receive the details you submit on that booking form (typically name, email, phone and any other information you choose to provide).

We also collect standard technical information when you browse the site, such as your IP address, browser type, and pages visited. This is described in the Cookies and analytics section below.

We use the information you provide to:

• Respond to your enquiry or demo request
• Add you to the relevant early-access list and notify you when that feature or discipline is available
• Send you occasional marketing emails about Enrolio, such as product updates, offers and events
• Manage and remind you about the demo you booked
• Improve our website and understand which features visitors are most interested in

We process your personal data on the basis of consent when you submit the early-access or demo enquiry form, and on the basis of legitimate interests when we respond to your enquiry and keep our records secure and up to date.

You can withdraw your consent to marketing at any time by clicking the unsubscribe link in any email, or by contacting us at hello@enrol.io.

When you download a playbook or run the club benchmark you can choose to tick a box agreeing to receive WhatsApp messages from us. This is entirely optional - you will still get your playbook or benchmark result if you leave it unticked.

If you tick it, we store the phone number you give us together with the date and the form you used, and we may send you occasional club-growth tips and Enrolio updates on WhatsApp. Standard message rates from your provider may apply. You can opt out at any time by replying STOP to any WhatsApp message or emailing hello@enrol.io.

We share lead and demo data with our CRM and marketing automation provider, HubSpot, so we can manage enquiries, send emails and book meetings. We also use Google Analytics to understand how visitors use the website.

With advertising permission, we report confirmed demo bookings to Meta (Facebook and Instagram) and Google Ads to measure ad performance and support ad optimisation. These services may receive cookie or browser identifiers, page information and the booking conversion event. We do not include your name, email or club details in these conversion events. Campaign UTM details and your current software answer are saved with your HubSpot enquiry.

Both providers act as data processors under their own agreements and security measures. We do not sell your personal data, and we do not share it with other third parties for their own marketing purposes.

HubSpot and Google Analytics operate services globally. Where your data is transferred outside the United Kingdom or European Economic Area, it is protected by standard contractual clauses or other recognised safeguards approved by the UK/EU.

We keep lead and demo enquiry data for 2 years from your last interaction with us. After that, we delete or anonymise it unless we have a legal reason to keep it for longer (for example, to resolve a dispute or meet a tax or accounting obligation).

We use cookies and similar technologies to keep the site running and to understand how it is used. The types of cookies we use include:

• Essential cookies: needed for the site to work correctly and securely.
• Analytics cookies: used by Google Analytics to collect anonymous information about how visitors move around the site.
• Marketing/CRM cookies: used by HubSpot to support forms, chat and email marketing.

Confirmed booking conversion reporting uses your advertising choice in the HubSpot cookie banner. You can withdraw permission or change your choices by reopening Cookie settings in the banner, or contact hello@enrol.io for help. Declining advertising does not prevent you from booking a demo.
